Office Manager

The Montessori Children’s House of Nantucket is seeking a responsible, reliable, multi-talented Office Manager starting immediately.

This is a full-time position during the school year (including limited hours over school vacations & occasional evening and weekend hours for special school events), as well as flexible part-time work during July and August.

Responsibilities include:
– Attending to tasks and responsibilities associated with successful operation of school (e.g. communication, business, security, maintenance).
– Understand and promote the school’s mission, vision, objectives, and policies both within and outside the immediate school community.
– Maintain confidentiality of student, family, staff and school information.

Communication:
– Be visible and accessible to members of the school community
– Answer the phone and check email
– Facilitate communication among all of the school’s constituents and encourage their participation in MCHN activities and events
– Communicate reminders to parents
– Attend board meetings as necessary and help prepare monthly written reports on the status of the school’s operations
– Attend agenda setting meetings monthly during the work day with Head of School and board representatives
– Attend weekly staff meetings as needed

School & Business Operations:
– Daily management and oversight of deposits and bill paying
– Prepare and make all deposits
– Monitor and manage tuition payments
– Manage ongoing record keeping of checks sent to pay invoices, direct debits payments, tuition payments, etc.
– Administer the operating budget and be accountable to the board for effective business management and prepare annual budget recommendations
– Ensure the maintenance of accurate and thorough records for all areas of school operations
– Maintain current ongoing records and database on all students and staff in the school & maintain the confidentiality of all such records
– Regular trips to the grocery store, post office and bank
– Order classroom supplies & materials as needed/requested by staff in accordance with the annual budget

Facilities:
– Supervise maintenance of all school equipment
– Supervise the maintenance of MCHN as an aesthetically attractive and safe
environment

Admissions:
– Maintain a comprehensive set of records of prospective parents
– Generate tuition contracts and enrollment packets

Classroom:
– Provide nurturing and responsive supervision of student lunchtime, in cooperation with teaching staff, from 11:15-12:45 daily
– Stay informed of what is happening in the classrooms/on playground; assist when needed

Development:
– Order materials for events in accordance with the annual budget
– Play an active role in supporting development volunteers
– Attend all school fundraising events

Required Qualifications:
– Strong communication skills
– Bachelor’s degree required
– Proficiency in QuickBooks, Microsoft Office Suite, Constant Contact, general computer/tech operations, and a desire to learn new things is required.
– CPR certified or ability to gain certification

Recommended Qualifications:
– Compassion and appreciation for children, experience working with children age 2 years 9 months to 6
– Early Education & Care (EEC) Preschool Teacher qualification preferred, or willingness to take necessary steps to gain qualification
– Montessori experience preferred, or willingness to attend 2-day summer training program
– This position requires a lot of movement both inside and outside of the classrooms. It also requires flexibility and adaptability when situations arise that require immediate attention
